The data we receive
When the form is available, choose whether you are a private customer or a business. First name, surname, email address, country, telephone number, investment type and building type are required. A description is optional for private customers. Businesses must also provide a company name and investment description; town, billing address and installation address are optional. Providing data is voluntary, but the required fields are necessary to submit the form. Do not send sensitive data or unnecessary information about other people.
The database also stores the customer type, selected country, full telephone number with international prefix, form language and source page, inquiry number, creation and update dates, status, responsible employee and notes made by authorised staff. An inquiry may be linked to a customer record, estimates, projects, contact history and delivery history. The server receives technical connection data, including the IP address, to handle the request and protect the form from abuse; the IP address is not stored in the inquiry record.
Purposes and legal bases
- Responding to your enquiry or preparing a quote before entering into a contract with you: Article 6(1)(b) GDPR.
- Other correspondence, including contact with business representatives, and protecting the website against abuse: Article 6(1)(f) GDPR. The controller’s legitimate interests are handling correspondence and maintaining security.
- Establishing, exercising or defending legal claims where necessary: Article 6(1)(f) GDPR.
Sending an enquiry does not require marketing consent. The form does not add you to a mailing list. Cookie settings do not constitute consent to the processing of form data.
Storage and access
Enquiries are stored securely on the website’s server. Access in the company portal is limited to signed-in users authorised to handle enquiries. Once email is configured, the application also sends a notification containing all form data to the company mailbox through its email provider. Failed deliveries are retried, and the enquiry remains stored in the database.
An authorised employee may email a prepared quote with a PDF attachment to the customer. The system retains quote versions and the result of submission to the mail server. The customer’s enquiry and internal notes support staff in their work. They are not automatically included in the quote or its accompanying email. Updating a customer record does not alter previously saved document versions.
The website does not integrate external analytics, advertising, remote fonts or embedded content. The controller agrees data processing terms with hosting, email and IT providers. Processing locations and any transfers outside the European Economic Area are described in the provider information. Recipient and hosting details are provided below.
Website hosting is provided by VH.PL.
Data is retained for as long as needed to handle the matter, and afterwards only as justified by legal obligations or claims, taking limitation periods into account. Retention depends on the case. The application does not automatically delete data after a fixed period; the controller is responsible for reviewing and deleting unnecessary data, including copies in email and backups.
We retain customer inquiries for 30 days after receipt. We retain backups for 30 days after creation.
Your rights
You may request access, rectification, erasure or restriction of processing. Where provided by the GDPR, you may receive your data for portability. For processing based on Article 6(1)(f), you may object on grounds relating to your particular situation. The scope of your rights depends on the legal basis and circumstances.
To exercise your rights, contact the controller at the address above. You may also lodge a complaint with the President of the Polish Personal Data Protection Office (UODO). The website does not profile visitors or make automated decisions about them.
